When Tom Heideman, founder of Epiphany Marketing, came to HireUA, he knew he needed additional support but was unsure how to define the position.
Epiphany Marketing is a direct response and e-commerce business specializing in nutraceutical products, email marketing, advertising consulting, and VSL creation.
The Challenge
Tom needed someone to take ownership of daily backend operations, manage email marketing workflows, and help create better internal processes.
The ideal candidate needed experience with direct response marketing and CRM systems. They would also need to coordinate with the company’s existing Virtual Assistant, who uploaded its email promotions.
Tom had previously worked with other international hiring providers, but they left him responsible for defining the role, screening applicants, creating tests, and evaluating candidates.
“You have to interview a hundred people to find one who might really work.”
His biggest challenge was that he could describe the tasks he needed completed but was not sure what the overall position should be called.
Our Approach
We asked detailed questions about Epiphany Marketing’s operations, daily workflows, and expectations.
Based on Tom’s answers, we helped him turn a collection of tasks into a clearly defined Executive Assistant position and created a detailed job description for the search.
We then presented 4 highly qualified candidates.
The quality of the shortlist made the final decision difficult, but Tom selected the person with the strongest combination of relevant experience, responsibility, and long-term fit.
The Result
The selected Executive Assistant brought the marketing and CRM knowledge required to support the company’s backend operations.
Our team managed the interview scheduling, provided updates throughout the process, and followed up after each stage.
This allowed Tom to focus on assessing personality and cultural fit instead of screening large volumes of applicants.
“Everything was super smooth. It almost felt too easy compared with going through pools and pools of candidates.”
The Impact
Through our partnership, Epiphany Marketing achieved:
- A previously unclear position defined as an Executive Assistant role
- Four highly qualified candidates presented
- A hire with relevant marketing and CRM experience
- Less time spent screening and interviewing applicants
- A fully coordinated interview process
- More support for email marketing and backend operations
- A candidate selected for both experience and long-term fit
By helping Tom clarify what his business actually needed, we turned an uncertain hiring requirement into a structured search and found an Executive Assistant capable of supporting Epiphany Marketing’s continued growth.
