This Privacy Policy explains how HireUA collects, uses, shares and protects personal information when you visit hire-ua.com (the “Website”), contact us, sign up for our emails, or apply for a role through us. We have tried to keep it short and in plain English. If anything is unclear, please get in touch using the details at the end.
1. Who we are
HireUA is a global recruiting and staffing service. We connect companies with full-time remote professionals based in more than 40 countries.
The company responsible for your personal information (the “controller”) is:
- Legal entity: Hire UA LLC
- Registered address: 1621 Central Avenue, Cheyenne, Wyoming 82001, USA
- Privacy contact: contact@hire-ua.com
In this policy, “HireUA”, “we”, “us” and “our” refer to that company.
2. Information we collect
We collect information you give us directly, information created when you deal with us, and some information collected automatically when you use the Website.
Start Hiring form
When you fill in our Start Hiring form, we collect your name, email address, phone number, company name, and details about the role you want to fill. You may also choose to tell us more about your needs, such as team size, timeline or budget.
Popups and opt-in forms
Our Website uses Thrive Leads to show popups and sign-up forms. If you fill one in, we collect the details you enter (usually your name and email address) and a record of which form you used and when.
Email newsletter
If you join our newsletter, your name and email address are stored with Kit (formerly ConvertKit), our email marketing provider. Kit also records whether you open our emails or click links in them, so we can understand what is useful to readers.
Pricing Guide downloads
When you request our Pricing Guide, we collect the details you submit on the download form, such as your name, email address and company. We may add you to our email list if you agree to that on the form.
Candidate information
If you apply for a role, send us your CV, or we find your public professional profile while searching for talent, we may collect:
- Your name, contact details and location
- Your CV, work history, education, skills, languages and certifications
- Portfolio links, online professional profiles and references
- Salary expectations, availability and notice period
- Notes and assessments from interviews and skills tests
- Any other information you choose to share with us
Please do not send us sensitive information (such as health, religion or political views) unless we specifically ask for it and the law allows it.
Calls, recordings and notes
We may record and transcribe sales calls, client intake calls and candidate interviews using Fathom, a meeting recording and note-taking tool. We will tell you at the start of a call if it is being recorded. If you would rather not be recorded, just say so and we will turn recording off. We also keep written notes from calls and meetings.
Cookies, analytics and advertising
We use cookies, pixels and similar technologies on the Website. These include:
- Analytics cookies: we use Google Analytics, connected through Google Site Kit for WordPress, to understand how visitors use the Website. This collects information such as pages visited, time on site, the website that referred you, your approximate location (based on your IP address), and your device and browser type.
- Heatmaps and session analytics: we use CrazyEgg to see how visitors scroll, click and move through our pages, so we can improve them. CrazyEgg collects information such as clicks, scrolling, mouse movements, pages visited and your device and browser type. It is controlled by your cookie choices in the same way as Google Analytics.
- Advertising cookies and pixels: we use the Meta (Facebook) Pixel and Google advertising features, and may use similar advertising tags. These collect information about your visit, such as pages viewed, actions taken on the Website and online identifiers, so we can measure our ads and show relevant HireUA ads to you on other websites and apps, such as Facebook, Instagram and Google services.
How our cookie bar works depends on where you are:
- Visitors in the EEA, the UK and Switzerland: our cookie bar asks you to Accept or Reject before Google Analytics, CrazyEgg and the Meta Pixel load. If you click Reject, they do not load. We remember your choice for 180 days, and you can change it at any time through the cookie settings link on the Website.
- Visitors in the United States: the footer of every page includes a “Do Not Sell or Share My Personal Information” link. Using it turns off the Meta Pixel and Google advertising features in your browser. Google Analytics and CrazyEgg keep running so we can continue to understand how the Website is used.
- Global Privacy Control: if your browser sends a Global Privacy Control (GPC) signal, we treat it the same way as the “Do Not Sell or Share My Personal Information” link and turn off the Meta Pixel and Google advertising features for that browser.
Embedded videos and booking tools
Some pages include video players from Wistia and YouTube, and booking embeds from Calendly so you can schedule a call with us. Calendly, Wistia and YouTube (Google) set their own cookies when you use or play them, and may collect information about your device and how you interact with them. If you book a call through Calendly, it also collects the details you enter, such as your name, email address and any answers to booking questions. Their own privacy policies apply to the information they collect.
Information from other sources
We may receive information about you from public professional networks, job boards, referrals from people who know you, or business contact databases. We only use this information in line with this policy.
3. How we use your information and our legal bases
If you are in the European Economic Area (EEA) or the United Kingdom, data protection law (the GDPR and the UK GDPR) requires us to have a legal basis for each way we use personal information. The list below summarises what we do and why.
- Responding to enquiries and Start Hiring requests: to reply, arrange calls and prepare proposals. Legal basis: steps taken at your request before entering into a contract, and our legitimate interests in running and growing our business.
- Providing our recruiting and staffing services: to find, assess and present candidates, and to manage Monthly Hire and Direct Hire engagements. Legal basis: performance of a contract, and our legitimate interests.
- Recruiting candidates: to review applications, assess suitability, share profiles with prospective employers, and keep you in mind for future roles. Legal basis: our legitimate interests in matching talent with jobs, steps taken at your request before entering into a contract, and your consent where required.
- Employing and paying Monthly Hire placements: to handle employment or contractor arrangements, payroll and related records. Legal basis: performance of a contract and compliance with legal obligations.
- Sending newsletters, guides and marketing emails: Legal basis: your consent, or our legitimate interests where the law allows us to email business contacts about similar services. You can opt out at any time.
- Recording and transcribing calls: to keep accurate notes, improve our service and train our team. Legal basis: our legitimate interests, or your consent where the law requires it.
- Website analytics, heatmaps and advertising cookies and pixels (Google Analytics, CrazyEgg and the Meta Pixel): to understand how the Website is used, improve it, measure our ads and show relevant HireUA ads. Legal basis: your consent, which you give by clicking Accept on our cookie bar. These tools do not load unless you accept. You can withdraw your consent at any time through the cookie settings link on the Website.
- Running our business safely: to keep records, prevent fraud and misuse, secure our systems, and handle legal claims. Legal basis: our legitimate interests and compliance with legal obligations.
Where we rely on legitimate interests, we have considered your interests and rights and believe our use is fair and expected. You can object at any time (see Section 9).
We do not use your information to make decisions that have legal or similarly significant effects on you based solely on automated processing.
4. Who we share your information with
We do not sell your personal information for money. We share it only as described below. Our use of advertising cookies and pixels is explained in Section 2 and, for California residents, in Section 10.
Service providers
We use trusted providers to help us run our business. They may only use your information to provide services to us. They include:
- Pipedrive (customer relationship management)
- Zapier (automations that move information between our tools)
- Slack (internal team communication)
- Google Workspace (email, documents and file storage)
- Kit (email newsletters and marketing emails)
- Thrive Leads and our website hosting provider (website forms and hosting)
- Wistia and YouTube (video hosting and players)
- Calendly (booking embeds and call scheduling)
- Google Analytics (website analytics)
- CrazyEgg (heatmaps and session analytics)
- Fathom (call recording, transcription and notes)
- Payroll, payment, accounting and professional advisers, where needed to deliver our services
Advertising partners
Information collected by advertising cookies and pixels on the Website is shared with our advertising partners, who may also use it in line with their own privacy policies. If you are in the EEA, the UK or Switzerland, this only happens after you click Accept on our cookie bar. If you are in the United States, it happens unless you use the “Do Not Sell or Share My Personal Information” link or your browser sends a Global Privacy Control signal. Our advertising partners are:
- Meta Platforms (the Meta Pixel, for ads on Facebook, Instagram and other Meta services)
- Google (Google advertising features, for ads on Google services and partner websites)
Clients and prospective employers
If you are a candidate, we share your profile, CV, assessment results and related information with client companies that are considering you for a role. We aim to share only what is relevant to the role.
Candidates
If you are a client, we may share your company name, role details and the names of people involved in hiring with candidates we put forward.
Other situations
- When the law requires it, or to respond to valid requests from public authorities
- To protect our rights, property or safety, or those of others
- As part of a merger, sale or restructuring of our business, in which case the new owner would continue to protect your information in line with this policy
- With your permission, in any other case
5. International transfers
We work with clients and candidates in many countries, and our service providers operate around the world. This means your information may be transferred to, stored in, or accessed from countries other than the one you live in, including the United States and countries outside the EEA and UK.
When we transfer personal information out of the EEA or UK to a country that has not been recognised as providing adequate protection, we use appropriate safeguards. These include the European Commission’s Standard Contractual Clauses, the UK International Data Transfer Addendum, recognised certification schemes such as the EU-US Data Privacy Framework, or other lawful mechanisms. You can contact us for more information about these safeguards.
6. How long we keep your information
We keep personal information only for as long as we need it for the purposes described in this policy, or as required by law. As a general guide:
- Client and prospect information: for as long as we have an active relationship, and then for up to 3 years after our last business contact to handle follow-ups, records and legal claims.
- Candidate information: for up to 3 years after our last contact with you, so we can consider you for future roles. You can ask us to delete it sooner.
- Newsletter subscribers: until you unsubscribe. We may keep a minimal record so we respect your choice not to be contacted.
- Call recordings and transcripts: for up to 2 years, unless we need them longer for a specific reason.
- Employment, financial and other records needed for legal, tax or accounting purposes: for as long as the law requires.
- Analytics data: according to the retention settings in Google Analytics and CrazyEgg.
When we no longer need information, we delete it or make it anonymous.
7. How we protect your information
We use reasonable technical and organisational measures to protect personal information. These include access controls, secure login and two-factor authentication on our key systems, encrypted connections to our Website, and limiting access to people who need it for their work. We also choose service providers that take security seriously.
No system is completely secure. If we become aware of a data breach that affects you, we will notify you and the relevant authorities where the law requires.
8. Marketing emails and unsubscribing
We only send marketing emails where you have agreed to receive them or where the law otherwise allows. Every marketing email includes an unsubscribe link. You can also email us at contact@hire-ua.com to stop receiving them. Unsubscribing from marketing will not stop service-related messages, such as replies to your enquiries or updates about an active placement.
9. Your rights under the GDPR and UK GDPR
If you are in the EEA or the UK, you have the following rights over your personal information:
- Access: ask for a copy of the information we hold about you.
- Rectification: ask us to correct information that is wrong or incomplete.
- Erasure: ask us to delete your information in certain situations.
- Restriction: ask us to limit how we use your information in certain situations.
- Portability: ask us to provide your information in a commonly used, machine-readable format, or to send it to someone else.
- Objection: object to our use of your information based on legitimate interests, and to direct marketing at any time.
- Withdraw consent: where we rely on your consent, you can withdraw it at any time. This does not affect anything we did before you withdrew it.
- Complain: lodge a complaint with a data protection supervisory authority. In the UK this is the Information Commissioner’s Office (ICO). In the EEA, you can contact the authority in the country where you live or work. We would appreciate the chance to resolve your concern first.
To use any of these rights, email contact@hire-ua.com. We will respond within one month, and may need to confirm your identity first. There is normally no charge.
10. Notice for California residents
This section applies to California residents and supplements the rest of this policy, as required by the California Consumer Privacy Act as amended by the California Privacy Rights Act (together, “CCPA”). The CCPA applies only to businesses that meet certain thresholds set by the law. We provide this information so California residents understand their choices where the CCPA applies to us.
Categories of personal information we collect
In the past 12 months, we have collected the following categories of personal information:
- Identifiers: such as name, email address, phone number, IP address and online identifiers.
- Customer records information: such as contact and company details.
- Professional or employment-related information: such as CVs, work history, skills and salary expectations.
- Education information: such as degrees and certifications listed in a CV.
- Internet or other electronic network activity: such as pages viewed and interactions with the Website and our emails.
- Geolocation data: approximate location based on IP address.
- Audio and electronic information: such as call recordings and transcripts.
- Inferences: such as our assessment of a candidate’s suitability for a role.
We collect this information from the sources described in Section 2, use it for the purposes in Section 3, and disclose it to the categories of recipients in Section 4. We keep it for the periods described in Section 6.
Sale and sharing
We do not sell personal information for money. However, we use advertising cookies and pixels, such as the Meta Pixel and Google advertising features, which allow Meta Platforms and Google to collect identifiers and internet activity from the Website. Under the CCPA, this may count as “sharing” personal information for cross-context behavioral advertising, or as a “sale” under the CCPA’s broad definition. In the past 12 months, we may have sold or shared identifiers and internet or other electronic network activity in this way with advertising partners.
You can opt out at any time by using the “Do Not Sell or Share My Personal Information” link in the footer of every page. This turns off the Meta Pixel and Google advertising features in your browser. Google Analytics and CrazyEgg keep running, because we use them only to understand and improve the Website, not for cross-context behavioral advertising. We also treat a Global Privacy Control (GPC) signal sent by your browser as a valid request to opt out of sale and sharing, and honor it the same way as the link, for that browser.
We do not knowingly sell or share the personal information of anyone under 16. We do not use or disclose sensitive personal information for purposes that would give you the right to limit its use.
Your California rights
- Right to know: ask what personal information we have collected about you, where it came from, why we collected it, and who we disclosed it to, and ask for a copy of it.
- Right to delete: ask us to delete personal information we collected from you, subject to certain exceptions.
- Right to correct: ask us to correct inaccurate personal information.
- Right to opt out of sale and sharing: tell us not to sell or share your personal information, using the “Do Not Sell or Share My Personal Information” link or a Global Privacy Control signal, as described above.
- Right to non-discrimination: we will not treat you differently for exercising any of your privacy rights.
To make a request, email contact@hire-ua.com with the subject line “California Privacy Request”. We will verify your identity by matching information you provide with information we already hold. You may use an authorised agent to make a request on your behalf, and we may ask for proof that they are authorised.
11. Notes for Canada, Australia and New Zealand
Canada: We handle personal information in line with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial laws. You can ask to access or correct your information, and withdraw consent, subject to legal and contractual limits. If you are not satisfied with our response, you can contact the Office of the Privacy Commissioner of Canada.
Australia: We handle personal information in line with the Privacy Act 1988 and the Australian Privacy Principles. You can ask to access or correct your information. If you are not satisfied with how we handle a complaint, you can contact the Office of the Australian Information Commissioner (OAIC).
New Zealand: We handle personal information in line with the Privacy Act 2020. You can ask to access or correct your information. If you are not satisfied with our response, you can contact the Office of the Privacy Commissioner.
In each case, please be aware that your information may be stored or processed outside your country, as explained in Section 5.
12. Children
Our Website and services are meant for businesses and working professionals. They are not directed at children under 16, and we do not knowingly collect personal information from them. If you believe a child has given us personal information, please contact us and we will delete it.
13. Changes to this policy
We may update this policy from time to time, for example when we start using a new tool or when the law changes. We will post the updated version on this page and change the “Last updated” date at the top. If the changes are significant, we will take reasonable steps to let you know, such as a notice on the Website or an email.
