Bramar Strategic Services

Brad hired Mira, a part-time Project Manager from Eastern Europe. He saves about $50K a year and gets 15–18 hours a week back.

The Problem

Your CPA Shouldn’t Be Doing Bookkeeper Work.

If you’re categorizing expenses at 11 PM, you needed a Bookkeeper yesterday. If your CPA is categorizing transactions and chasing bank statements, you’re paying CPA rates for Bookkeeper work. Either way, the books get done late, in a panic, by the wrong person.

The Box of Receipts

  • Receipts show up in April
  • Personal and business expenses on the same card
  • Categorization six months behind
  • Your CPA emailing you for Q3 bank statements
  • Every tax deadline feels like a crisis

Bottom line: The Bookkeeper does the prep. Your CPA reviews and signs off. That’s the model, and it works.

Bookkeeper

The Role

Your Books. Their Responsibility.

A Bookkeeper’s job is to keep your financial records accurate and up to date. Everything else flows from that. Here’s what the job covers.

Categorization

01

Transaction Categorization

Every expense and every dollar of income in the right bucket, in QuickBooks, Xero or whatever you run.

Reconciliation

02

Reconciliation

Bank and credit card accounts reconciled on schedule, so the numbers you look at are numbers you can trust.

Receivables

03

Accounts Receivable

Invoicing, payment collection and tracking who owes you money.

Payables

04

Accounts Payable

Tracking who you owe, and making sure bills get paid on time.

Payroll

05

Payroll Preparation

Calculating wages and preparing contractor and employee payments for approval.

Statements

06

Monthly Statements

Balance sheet, P&L and cash flow prepared every month, ready for your CPA to review.

For CPA firms: a good Bookkeeper is also the person who chases your clients for the receipts and statements they’re always late on, so your CPAs can spend their time on review and advisory work.

What Good Looks Like

Accurate Is the Minimum. Proactive Is the Job.

The difference between an average Bookkeeper and a great one is how many things you have to go back and fix. We screen for these qualities:

Conversation

01

Proactive Communication

They come to you before something is late, not after the house is on fire.

Detail

02

Attention to Detail

At the high end, you barely touch their work.

Questions

03

Asks Questions Early

The best hires ask a lot of questions in month one. They’d rather ask four times than assume once.

Risks

04

Knows When Something Looks Off

They follow your process, and they know enough to flag a $50,000 charge filed as office supplies.

Workflow

05

Can Explain Their Process

Ask them to walk you through a bank reconciliation. A qualified Bookkeeper can describe it in their sleep.

RED FLAGS

What We Screen Out

Cameras that never turn on, work marked “done” that isn’t, and people who assume instead of ask.

What Clients Say

In Their Own Words.

Trustpilot

“Finding the right talent is tough, especially when language skills and niche expertise are required. I run an email marketing agency for French ecom brands and was handling everything myself—client work, campaigns, outreach—on top of a 9-to-5 job. As my agency grew, I knew I needed help but struggled to find a qualified French-speaking email marketer on platforms like Upwork. That’s when I turned to HireUA. Their team quickly understood my needs and, within days, presented me with pre-vetted candidates. The communication was seamless, and they even supported me during the onboarding process. Thanks to HireUA, I hired a French-speaking email marketer who now manages client fulfillment, freeing up 20-30 hours per week. This allowed me to focus on growth, and within two months, my revenue doubled. If you need top talent without wasting time on hiring, I highly recommend HireUA!”

“Absolutely changed the game for me. One person, Slava, runs my entire Operations Department.”

Trustpilot

“HireUA has been a pleasure to work with. Less than a week in and I had multiple interviews lined up with some really solid candidates. Any issues that came up during the process were solved immediately by their team, allowing me to keep my focus on the business.”

ASIA

The Philippines and Southeast Asia

Our Pricing Guide’s pick for Bookkeepers alongside Eastern Europe: deep remote-work experience and reliable, process-driven work.

We hire for the person who keeps your books clean, not the person with the longest list of software on their resume.

Questions

Bookkeeper FAQs

How much does it cost to hire a Bookkeeper?

Bookkeepers typically earn $2,000–$2,500 a month full-time, and Finance Admins $2,500–$3,000. That’s what the person earns, not HireUA’s fee.

Should I hire a Bookkeeper or an Accountant?

If you need transactions categorized, accounts reconciled, AR/AP handled and statements prepared, that’s a Bookkeeper. If you need tax returns, tax strategy or compliance sign-off, that’s an Accountant or CPA. Most businesses need a Bookkeeper first.

Can a remote Bookkeeper handle US taxes?

The Bookkeeper handles the prep: organizing records, categorizing transactions, preparing statements and collecting documents. Your CPA handles tax-specific compliance and signs off. Some candidates already have US return experience.

What software should my Bookkeeper know?

QuickBooks is the US standard, and Xero is increasingly popular. Larger companies use SAP, NetSuite or Microsoft Dynamics. A Bookkeeper with strong fundamentals learns a new platform quickly, so don’t make software the dealbreaker.

Is it safe to give a remote Bookkeeper access to my accounts?

Take the same precautions you would with any employee: an NDA, defined access levels and audit trails. QuickBooks and Xero both have granular permission settings.

What’s the difference between a Bookkeeper and a Finance Admin?

A Finance Admin does everything a Bookkeeper does, plus broader operational finance: payroll for larger contractor teams, payment platforms, light reporting and cross-team coordination.

We’re a CPA firm. Can you help us add several Bookkeepers?

Yes. We recruit for individual seats and for firms adding several people at a time, so your senior staff stop doing prep work and spend their time on review and advisory.

Do I need a Bookkeeper if I already have a CPA?

Probably more than you think. If your CPA spends hours on categorization and reconciliation, you’re paying CPA rates for Bookkeeper work.

How quickly can I meet candidates?

Qualified candidates are presented within 5 days of kickoff. Total time to hire depends on how quickly you interview and decide.

What’s the difference between Monthly Hire and Direct Hire?

With Monthly Hire, you pay HireUA, and we pay and administer your Bookkeeper, including payroll and compliance. With Direct Hire, you employ them directly and pay a placement fee of 15% of annual salary, $3,000 minimum.
