When we introduced Sophia to Marcos at the end of 2022, his social media growth company was still in its early stages.
She was originally hired as an Appointment Setter, responsible for managing direct messages and booking calls with potential clients.
Today, Sophia is an Operations Manager and trusted partner in the business, while The Birdhouse has grown into a seven-figure company.
The Initial Hire
The Birdhouse helps clients grow on platforms such as X and LinkedIn through ghostwriting, content engagement, traffic generation, and conversion strategies.
When Sophia first joined the company, Marcos only had a small number of clients and needed reliable operational support.
Over time, she proved capable of taking ownership of increasingly important responsibilities.
Her role expanded to include:
- Client success and communication
- New client onboarding
- Content and file organization
- Internal operations
- Quality control
- Ensuring clients are satisfied with their content and results
- Creating SOPs, documents, videos, and operational workflows
- Building Google Sheets, Airtable systems, and CRM automations
Because The Birdhouse creates content under its clients’ names, strong organization and close attention to quality are essential.
Sophia became responsible for managing a significant part of this process.
According to Marcos, she quickly moved beyond completing assigned tasks and began building systems that would make it easier to onboard and train future team members.
Growing Into a Leadership Role
Sophia’s position developed far beyond that of a traditional Virtual Assistant.
As the company grew, she took on more responsibility and became someone Marcos could trust with major parts of the business.
Her role evolved from Appointment Setter into a combination of Executive Assistant and Operations Manager. Marcos described her as a “jack of all trades” and the backbone of the company.
After approximately 2 years together, he bought out her HireUA contract so she could join The Birdhouse directly for the long term.
“Normalize promoting your VA to Operations Manager, flying across the world to meet them, treating them like a partner, and scheming a multi-year company vision with them.”
Marcos even traveled from the United States to Warsaw, Poland, to meet Sophia in person and plan the company’s future together.
Supporting 7-Figure Growth
When we first placed Sophia, The Birdhouse was generating an estimated $20,000–$30,000 per month. Since then, the company has grown to more than $1 million in annual revenue.
While this growth reflects the efforts of the whole business, Sophia’s ability to manage client success, onboarding, communication, and operations gave Marcos the support he needed to step back from daily responsibilities and focus on scaling.
Sophia directly removed approximately 2–3 hours of work from Marcos’s schedule every day.
This allowed him to dedicate more time to marketing, sales, fulfillment, client retention, and the other areas responsible for growing the company.
Marcos estimated that replacing the full scope of Sophia’s contribution with Western hires could cost 6 figures annually.
In his view, she was effectively performing responsibilities that could otherwise require separate fulfillment and marketing managers.
Her progression demonstrates what can happen when a company hires the right person and gives them the opportunity to grow alongside the business.
